The client was drowning in Word, Excel, and PowerPoint documents and back-to-back meetings. They wanted to find out whether Microsoft 365 Copilot would genuinely boost productivity — but weren't sure how to fold it into their day-to-day Microsoft Teams workflows while protecting sensitive internal information. They brought us in to pilot Copilot safely and integrate it into real work.
The goal was to prove Copilot's value concretely and embed it where it mattered most. That meant demonstrating faster Office document work, integrating Copilot into Teams meetings and chat, and doing it all without weakening existing access permissions or data governance — and it had to actually be adopted and used in both Japanese and English.
Interviewed each department to pinpoint the highest-value workflows across document creation, meetings, and analysis, then designed clear success metrics and a scoped pilot to measure impact.
Assigned licenses, configured the tenant, and rolled Copilot out to a pilot group — grounded via Microsoft Graph on the company's own SharePoint and OneDrive documents.
Established Copilot workflows across Office: drafting, summarizing, and rewriting in Word; formulas and data analysis in Excel; and auto-generating PowerPoint decks from existing documents.
Brought Copilot into Teams meetings for real-time recaps and action items, into Teams chat, and built a custom Copilot agent (declarative agent) grounded in company knowledge so staff could ask questions right inside Teams.
Applied sensitivity labels and Microsoft Purview / DLP, and scoped permissions so Copilot only surfaces content a user can already access — keeping confidential data safe throughout.
Created bilingual (Japanese & English) prompt playbooks and trained departmental champions, building habits so Copilot kept being used long after the pilot.
This case study shows that Microsoft 365 Copilot delivers real value when it is grounded in your own data, integrated where work actually happens (Teams), and properly governed. By putting Copilot to work across both Office documents and Teams, the client achieved visible time savings and strong adoption without sacrificing security.
